FAQ & Access Troubleshooting

This article addresses common employee access scenarios, email client configuration questions, security architecture, and subscription lifecycle management.

"No Active Signature Found" Login Error

Why This Happens

When an employee enters their corporate email address on the login page and receives the error message:

"No active signature found for this email address. Please contact your company administrator."

This indicates that the employee's email address is not currently listed in the organization's TeamSigs directory.

Closed-List Whitelist Authorization Architecture

TeamSigs enforces a strict closed-list security model:

  • Only corporate email addresses that have been pre-provisioned by a Workspace Administrator (via CSV import or the Add Member modal) are authorized to request 6-digit OTP verification codes.
  • Unlisted email addresses cannot access /my-signature or trigger OTP dispatches, preventing unauthorized domain enumeration.

Resolution Steps:

  1. The Workspace Administrator must log in to the admin workspace and navigate to Team (/team).
  2. Search for the employee's email address to verify spelling.
  3. If missing, click Add Member (or perform a CSV re-import) to add the employee's email address and profile details.
  4. Once saved, the employee can immediately return to the login screen, enter their email address, receive their 6-digit OTP code, and access /my-signature.

Zero Super Admin Permissions Required

A fundamental security principle of TeamSigs is that it does not require Google Workspace Super Admin or Microsoft 365 Global Admin permissions.

Architectural Comparison: TeamSigs vs. Legacy Signature Tools

Dimension Legacy Signature Software TeamSigs Architecture
Email Routing & SMTP Routes all company email through third-party cloud relays Zero email routing. Emails stay strictly within your tenant
API & Admin Scopes Demands read/write access to mailboxes, directory APIs, and OAuth admin consent Zero tenant admin permissions. Requires no Google/Microsoft OAuth scopes
Security Risk Surface Single point of failure; exposes all outbound email content to third parties Zero access to mail content. Zero breach or snooping risk
Installation Model Intrusive server-side transport rules Non-invasive client-side copy via native OS clipboard
Implementation Time Days/weeks requiring IT security review and MX record modifications Minutes. Upload directory and employees copy signature

Because TeamSigs delivers HTML signatures directly into the user's desktop or webmail client via formatted clipboard injection, IT security teams never have to grant third-party apps permission to read, modify, or intercept company communications.

Apple Mail: Fixing Font & Layout Overrides

If a team member pastes their signature into macOS Apple Mail and notices that custom fonts or font sizes appear distorted or revert to Apple's system font, Apple Mail's default styling override is active.

How to Fix:

  1. Open Mail on macOS.
  2. In the top menu bar, select Mail > Settings... (or press Cmd + ,).
  3. Click on the Signatures tab.
  4. Select the configured corporate signature in the middle pane.
  5. In the bottom-left corner of the window, locate the checkbox labeled:
    • "Always match my default message font"
  6. Uncheck this option.
  7. Close the Settings window and compose a new email. The signature will now render with the exact font families, sizes, and line-heights defined in the TeamSigs template.

Subscription Expiration & Account Grace Period

TeamSigs is billed as a flat-rate annual subscription ($149/year per organization for unlimited seats).

Subscription Expiration Policy

If an annual subscription reaches its renewal date without successful payment:

  • Grace Period (14 Days):
    • The organization enters a 14-day administrative grace period.
    • Administrators retain full access to /billing to update payment methods.
    • Existing employee signatures already pasted into email clients continue to function normally.
  • Employee OTP Access Suspension:
    • After the 14-day grace period, if the account remains delinquent, employee login access to /my-signature is locked.
    • Any employee attempting to request an OTP code will be prompted to contact their organization administrator.
  • 90-Day Data Preservation Guarantee:
    • Master templates, custom HTML designs, brand colors, and directory member rosters are preserved in an encrypted state for 90 days.
    • Re-subscribing at any time within this 90-day window instantly restores all templates and unlocks employee access without loss of data.
