Setting Up Your Email Signature in Webmail & Roundcube

Learn how to configure your official TeamSigs email signature in Webmail (Roundcube) on cPanel, Plesk, or self-hosted mail servers.

Overview

Roundcube is the industry-standard webmail interface deployed across hosting panels including cPanel, Plesk, DirectAdmin, and custom enterprise Linux servers. Because Roundcube supports both plaintext and rich HTML signatures, enabling the HTML signature mode is essential to display company logos, badges, and clickable contact links.

Step 1: Copy Your Signature from TeamSigs

  1. Sign in to your TeamSigs employee portal at https://teamsigs.com/my-signature.
  2. Under the Copy your signature card on the left, click Copy for Roundcube / Webmail.
  3. A success notification will confirm the rich signature data has been copied to your operating system clipboard.

Tip: Avoid manually selecting and copying text from the preview canvas. Clicking Copy for Roundcube / Webmail guarantees that table structures and CSS formatting remain intact.

Step 2: Access Settings and Identities in Roundcube

  1. Open your corporate webmail login page (e.g., https://yourcompany.com:2096, webmail.yourcompany.com, or your hosting provider's webmail URL).
  2. Enter your email address and password to log in.
  3. In the left navigation menu or top-right utility bar, click on Settings (represented by a gear icon).
  4. In the primary Settings column, select Identities.
  5. Select your default email account / identity from the list in the middle pane.

Step 3: Enable the "HTML Signature" Toggle

In the right pane under the identity configuration form, locate the Signature section.

  1. Find the toggle or checkbox labeled HTML signature.
  2. Critical Step: Switch the HTML signature toggle to ON (or check the box).
    • Why this matters: If "HTML signature" remains disabled, Roundcube forces the input into plain text mode. When pasted, your HTML markup will be displayed as raw code or plain text without logos, social icons, or branded colors.
  3. Once enabled, the signature editor toolbar will reveal rich formatting tools (bold, italic, alignment, and image controls).

Step 4: Paste and Save Your Signature

  1. Click directly inside the rich-text signature editing area.
  2. If there is any existing signature text, press Ctrl + A (Windows) or Cmd + A (macOS) and delete it.
  3. Paste your TeamSigs signature:
    • Windows / Linux: Press Ctrl + V
    • macOS: Press Cmd + V
  4. The visual signature with your name, job title, company logo, and contact links will render immediately in the editor box.
  5. Click the blue Save button at the bottom of the identity panel.

Step 5: Verification & Composing Messages

  1. Click on the Mail icon in the sidebar to return to your inbox.
  2. Click Compose (pencil icon) to draft a new email.
  3. Ensure your signature appears at the bottom of the compose window.
  4. If your compose window appears in plain text mode:
    • Go to Settings $\rightarrow$ Preferences $\rightarrow$ Composing Messages.
    • Under Main Options, set Compose HTML messages to always (or on forward or reply to HTML message).
    • Click Save.
